Invoice numbering

Choose your invoice and receipt prefixes and set the next number, so numbering carries over.

You are moving to Goji in the middle of the year. Your last invoice from the old system was 1,246, and your accountant expects the next one to be 1,247, not INV-0001. Numbering settings let you carry on from where you were.

A prefix and a next number for each.

What you can set

Once invoicing is on, Settings → Billing has an Invoice & receipt numbering section with four fields. Invoices and receipts are numbered separately, so you set a prefix and a next number for each. Out of the box that is INV-0001 for invoices and RCP-0001 for receipts. A preview under each prefix shows the number the next document will get.

  • A prefix can be up to 12 characters. It is uppercased and limited to letters, digits, dashes and underscores, and Goji adds the dash and four-digit number after it.
  • Leave a prefix blank for bare numbers, such as 1247.
  • The next number is the one your next document will use.

Rules that keep numbers clean

A number is assigned when an invoice is issued, not while it is a draft, so a draft you delete never uses one. The next number can only move forward: you can skip ahead, but Goji won’t let you go back onto a number you have already used, and the save is guarded against two people changing it at once. A voided invoice keeps its number rather than handing it to the next invoice, so gaps are normal and duplicates never happen.

Changing a prefix isn’t retroactive. An invoice already issued keeps the number printed on the PDF your patient is holding; only what comes next changes.

Try it in your own practice.
