Billing filter on the calendar

Find visits that still need an invoice, right on the calendar.

Tactile editorial artwork for Calendar Billing Filter

End of the day: which visits haven't been billed? The Calendar can answer that without opening each appointment.

Where it is

The filter is a Billing group in the Calendar's filter rail, below Charting (on a phone, in the Filters sheet). It only appears when invoicing is turned on for the practice. Each option has its own colored dot, and the choices are All billing, Needs attention, Not invoiced, Unpaid and Paid. Appointments that don't match the choice are hidden from the grid for the range you are viewing.

Combine it with the charting filter.

What each option means

  • Needs attention: finishing a chart left a billing decision for you (an ambiguous package, or a service with no price), or a visit the patient cancelled online still has a payment for you to settle. This one outranks the others.
  • Not invoiced: the visit has already happened and has no invoice and nothing waiting on you. A voided invoice doesn't count, so a visit whose only invoice was voided shows here again.
  • Unpaid: an invoice exists but isn't settled, whether it is still a draft, open, partly paid or uncollectible. If a visit has both a settled and an unsettled invoice, it shows as Unpaid.
  • Paid: the invoice is settled, including a zero-dollar invoice covered by a package.

A visit still ahead of you is never Not invoiced; it matches none of the four until its time has passed. A multi-visit statement counts for each visit on it.

Combining it with Charting

Billing and Charting are separate filters and they stack. Charting Complete plus Billing Not invoiced lists visits you've finished documenting and haven't billed yet, which is the check to run at the end of a day. How the invoices get created is covered in Auto-drafted invoices and Invoicing.

Try it in your own practice.
