A patient finishes their visit and says they'll just put it on a card. Until now that meant a separate Square window, then coming back to mark the invoice paid. With Square connected, you charge the card from the invoice itself and the invoice marks itself paid.
Connect your own Square account
Goji doesn't process payments for you. You connect your practice's own Square account, so charges land in the account you already have and show up in Square's own dashboard alongside everything else you take there. Square handles the card, the fees and the payout to you.
Open Settings → Billing → Payment processing and choose Connect Square. You are sent to Square's consent screen, sign in and approve, and you come back to Goji with a Square connected message. The section only appears once invoicing is Manual or Automatic, and only an owner or admin can connect, reconnect or disconnect. Other staff can still charge cards once it is connected.
If your Square account has more than one location, pick a Default location. It decides which Square location a charge goes to, and until one is chosen Goji stops a charge with a prompt to finish setting up payment processing in Settings → Billing. A single-location practice just picks its one location.
Charge a card from an invoice
On an issued invoice with a balance, open the Collect payment menu next to Record payment and choose Charge card. Enter the card yourself, whether the patient hands it to you or reads the numbers over the phone. It needs no extra hardware.
The amount is filled in with what is still owed. Change it to take a partial payment, but not more than the balance, and not on a draft or voided invoice. The button reads Charge with the amount on it, so you can see what you are about to take.
When Square accepts the charge, the payment is recorded with a numbered receipt and the invoice becomes Partially paid or Paid, exactly as if you had recorded the payment by hand. If Square declines the card, you see why on the form and nothing is recorded.
What Goji keeps, and what it doesn't
The card number is typed into Square's own card fields and goes from there to Square. Goji only receives the single-use token Square hands back, and never the number. What Goji records is the amount, the Square payment it matches and the receipt number. The permission Square gives Goji to act on your account is stored encrypted.
Disconnecting, and what stays
Disconnect revokes Goji's access in Square, so new charges and in-app refunds stop. Payment history, refund history and patient links stay. If the connection can no longer be refreshed, for example because access was revoked from your own Square dashboard, the section says Square needs to be reconnected and offers Reconnect. Connect a different Square account while one is attached and Goji asks you to disconnect the current one first. A Square account can also be linked to only one Goji practice at a time.
Connecting is optional. Cash, check, Venmo and Zelle payments work with nothing connected. Once it is, the same account powers card readers, Pay now in the portal, refunds, saved cards and disputes.
