Charges from the invoice

Superbill prices come from the visit's invoice, so the two never disagree.

A superbill total higher than its procedures is a common reason a claim is sent back. So the Charges block never asks you for a price. It reads the invoice you already issued for the visit and prints that.

What it prints

The block lists the invoice's treatment lines (services and adjustments such as a discount), then subtotal, tax and total, the invoice number, and the payment methods used. Only an issued invoice counts: a draft or a voided one is ignored. On the visit's Superbill page, a Charges section tells you what will print before you generate the PDF.

Treatment lines only, with a note.

What is left off, and why

Herbs, retail products and package purchases can sit on the same invoice, but they aren't that visit's treatment. The PDF says how many lines were left off, so the difference from the patient's own receipt is explained on the page.

If an invoice covers several visits, only the lines attached to this visit are shown. A line attached to no visit on a multi-visit invoice is left off too, rather than guessed onto whichever visit is printing. If nothing billable remains for the visit, for example it was settled from a package, the superbill prints a no-charges footnote instead of a $0.00 table that would read as a free visit.

When amount paid is shown

Amount paid appears when it can be stated exactly: either the printed lines are the whole invoice, or the invoice is paid in full. A part-paid invoice that also covers other lines shows the charges but no paid figure, and says why, because splitting one payment across lines would put a number on a reimbursement document that nothing backs up.

If there is no invoice

With no issued invoice for the visit, the Superbill page warns that the document will show no amounts. If invoicing is off for the practice, it says that instead and notes the patient will need a separate itemized receipt. For the codes the superbill lists, see superbill export.

Try it in your own practice.
