Patient superbill

Generate a superbill PDF from a charted visit for a patient to send their insurer for out-of-network reimbursement.

Tactile editorial artwork for Superbill Export

A cash-pay patient finishes their visit and asks for something they can send to their plan. You open the visit, review a pre-filled page, and hand them a PDF a minute later.

Where it lives

On the Calendar, on Today's schedule and on a patient's Schedule tab, an appointment row with a session shows a small receipt icon labelled Generate superbill. It opens a Superbill page for that visit, headed with the patient, the date, the treatment minutes and the provider, with a Back to session link.

The feature is on by default. If your practice doesn't offer superbills, turn off Patient-facing superbill export under Settings → Billing and the icon disappears from the schedule.

One page per visit, filled in from the chart.

What you review before it prints

The page works down the document in order. Procedures performed starts from the visit's recorded technique and treatment minutes, a starting point to review rather than a certified bill. Suggested CPT codes covers how those are worked out, and Add-on codes covers what you tick yourself.

Charges come from the invoice issued for the visit, so you never retype a price (Charges from the invoice). Diagnosis (ICD-10) is a filterable list from your own code list, and you pick whatever applies. It can suggest a patient's saved defaults for you to apply or dismiss (Diagnosis defaults).

Pick the diagnosis, then generate.

What the PDF says

The document is titled Superbill, with the subtitle Patient reimbursement statement, and carries your letterhead. It lists:

  • The date of service, the patient, the rendering provider, their NPI and their state license number if you've entered one.
  • The place of service, kept separate from who is billed (Billing identity per location).
  • The diagnosis codes with their descriptions.
  • A Procedures performed table of CPT code, description and units.
  • The visit's charges and an optional signature block.

A footnote states that the codes are a suggested starting point, not a certified bill, and that Goji does not submit the document or any claim to an insurer. Every export is also saved, so you can download the same document again (Saved superbill snapshots).

What it needs, and what stops it

Generate & download PDF stays disabled until the practice phone, address and Tax ID and the provider's NPI are filled in, and at least one diagnosis code is picked. The page lists whatever is missing with a Go to Settings > Billing link, so there is no guessing. The state license number doesn't block anything, but leaving it off is a common reason a plan administrator sends a submission back.

Beyond needling

By default only acupuncture codes are offered. Practices that also bill consultations, preventive visits or herbs can turn those on under Billing codes, and a consultation added on a needling day prints with modifier 25. Nothing is ever added without your tick.

A superbill is a document, not a claim. Whether a plan reimburses it depends on the patient's plan, so check what yours asks for. If you're writing your own, the acupuncture superbill guide explains what insurers look for.

Try it in your own practice.
