A practice that adds herbs bills differently from one that doesn't, and a superbill that offers every code to everyone just adds noise. Billing codes lets you say what your practice actually bills.
Pick a starting point
In Settings > Billing, Billing codes opens with three presets. Needling codes (97810 to 97814) are always on, and so are the infrared and manual-therapy add-ons.
- Acupuncture only: nothing beyond that. This is the default, so existing superbills don't change until you open the setting.
- Acupuncture + consultations: adds 99203, 99213 and 99214 for visits with a separate evaluation.
- Acupuncture + herbal practice: the consultation codes, the adult preventive visits 99395 to 99397 and A9150 for herbal formulas.
Choosing a preset replaces the code list with that preset's. After that, the codes are grouped as Consultations (E/M), Preventive visits, Herbs and Other procedures, and each one is a checkbox. Once your list differs from the preset, it is tagged Customized. Reset to acupuncture only puts everything back.
What it changes on the superbill
Turned-on codes are suggested on the superbill page, never added by themselves. A consultation added on a needling day prints with modifier 25. Preventive visits and herbs print marked patient-pay, because insurers rarely cover them. Each code notes where payers push back, and 97016 (cupping) is tagged Limited evidence, since the evidence that it covers cupping is specific to VA Community Care.
A separate switch, Add modifier GP to physical-medicine codes, is off by default. Turn it on only if a payer such as Medicare or the VA asks for it on 97026, 97124, 97140 and 97016.
Defaults for each service
A service can start its superbill with codes already ticked. In Settings > Scheduling, open the service and use Superbill codes: tick the codes it should start with, or turn off Suggest acupuncture codes for a service with no needling, such as an herbal consult. The choices come from your practice's list above, and you can copy them from another service. Anyone can untick a code on a single visit.
