An accountant asks for last year's payments. A colleague asks what leaving would involve. You want a second copy of your charts before a big change. None of these should be a support request, so the whole export is a row of buttons in Settings.
What you can download
In Settings, find Export your data. There is a button for each of seven files, and a click downloads that one straight away. It is not queued or emailed to you.
- Patients: the roster, with your patient fields both as one readable column each and together in a customFields column.
- Sessions: every charted visit, with the patient, date and the ids of the service, provider and location, plus points, pulse, tongue, pattern, technique, free text and your custom chart fields.
- Notes: each patient note with its date and whether it is pinned.
- Invoices: numbers, status, dates, totals and the line items on each.
- Payments: amount, method and status, with the receipt number that is printed on the patient's receipt, so a receipt in someone's HSA paperwork can be matched to a row.
- Packages: each prepaid bundle with credits bought and remaining, price paid and any expiry. See Session packages.
- Ledger: every movement of value on every patient's account, in the order it happened, which is the file an accountant usually wants.
The files are named patients.csv, sessions.csv, notes.csv, invoices.csv, payments.csv, packages.csv and ledger.csv. Invoices, payments, packages and the ledger are shown even if you have turned invoicing off, because they are your business records.
A complete copy, not a summary
Values that have several parts, such as phone numbers, addresses, pulse, tongue and the line items on an invoice, are kept whole in a single cell as JSON rather than squeezed across a pile of columns. Open the file in a spreadsheet to read it, or parse those cells if you are moving the data somewhere else.
Custom fields come out under their labels, not internal ids, so a column reads Pain Level and not a string of characters. Every file includes record ids, and the files tied to a patient also carry their first and last name so you can read a row without a lookup.
Records you have deleted are not included in the patients, sessions, notes, invoices and packages files. Restore an item from Trash first if you want it in the file.
Round trip, and just a few patients
The patients, sessions and notes files are shaped so that Goji can read them back. Columns match your fields with no mapping step, so you can fix a batch in a spreadsheet and re-upload it; see CSV import and Fix in a spreadsheet, re-upload. The billing files are for your records and your accountant, not for import.
If you only need some people, tick them in the patient roster and use Export selected as CSV instead.
