Practice-wide invoices

One Invoices page for drafts, unpaid, paid, packages and activity across every patient.

Tactile editorial artwork for Practice Wide Invoices

It's the last day of the month, and you want to know who still owes you. A patient's record answers that for one patient. Invoices in the sidebar answers it for all of them. It appears once invoicing is on under Settings → Billing → Invoicing, and while invoicing is off the page doesn't exist.

Three numbers, then five tabs

The page is headed Billing and opens on Outstanding. Above the tabs are three totals: Outstanding, Collected and Unredeemed credits. Outstanding is always all-time, because a debt doesn't stop existing when you look at a narrower range. Collected follows the date range you pick. Unredeemed credits counts prepaid sessions you've sold and not yet delivered, with their value, kept apart from revenue because it's money received for work you still owe.

Totals on top, one row per unpaid invoice.

What each tab is for

  • Draft lists invoices that were started, or created when a chart was completed, but never issued. Each row has Review & edit, Issue and Delete. Only drafts can be deleted, and the visit then shows as not invoiced until a new invoice exists. An issued invoice can only be voided.
  • Outstanding lists every open or partly paid invoice with its number, patient, total and what is still due. You can search by patient name or invoice number and sort by Invoice, Patient, Total or Due. A voided invoice isn't listed.
  • Paid lists settled invoices with Issued, Invoice, Patient and Total, searchable and sortable on each. A Range control offers the last 30 days, 90 days, a year or all time, applied to the issue date, and it opens on 30 days. A zero-dollar invoice, such as a visit covered by a package, counts as paid.
  • Packages is the sold-but-not-delivered view, grouped by patient or by package. The Session packages entry covers its columns.
  • Activity is a log of everything that moved money or sessions, newest first. A Show control narrows it to Invoices, Payments, Fees, Packages or Visits, and the same Range control applies. It lists up to the 500 most recent entries in the range.

Every patient name is a link to that patient's billing page, where the full invoice is.

What you can do from the list

On Outstanding, each row carries the same payment control as the patient's Billing tab. Without a connected card processor it's a Record payment button, for cash, checks and the like. Once payment processing is connected it becomes the Collect payment menu, which adds card, reader and saved-card charges. The form opens right under the row and the totals refresh when it's done. Each payment gets its own numbered receipt.

On Draft, Issue finalizes the invoice and gives it the next invoice number (Invoice numbering). If you've turned on Apply account credit automatically, any credit the patient holds is used as it's issued. Most drafts come from Automatic invoice drafts.

Try it in your own practice.
