Branded invoices and receipts

Put your logo, accent color, standing text and license number on invoices and receipts, and your logo on superbills and chart PDFs.

Tactile editorial artwork for Branded Documents

A patient forwards your receipt to their HSA administrator, and the next thing they open is a superbill. If one looks like a spreadsheet export and the other like a letter from your practice, it reads as two different businesses. Branding is set once and every document picks it up.

Logo and accent color

Open Settings → Billing → Branding. This section appears once invoicing is turned on. Under Letterhead, choose a logo file: PNG, JPG or SVG, under 200KB. Goji says so if it is too big or the wrong type, and it rejects an image that can't be drawn into a PDF at upload time, so a bad file never breaks a document later. Remove clears it.

The Accent color takes a color picker or a hex value like #4f566b. It colors the document title (Invoice, Receipt) and nothing else. Leave it blank and the title is the default dark ink.

Settings → Billing → Branding.

Standing text and header fields

Standing text on every invoice and receipt is a paragraph that prints at the bottom: payment instructions, a cancellation policy, whatever you would otherwise retype. It is separate from the note on a single invoice, which applies to that invoice only.

Extra document fields are label and value rows for something your jurisdiction wants on every invoice, such as a license or registration number. You can add up to four, and a row only prints when both its label and value are filled in. They sit in the header under the document number and date.

Standing text and header fields appear on invoices and receipts. Superbills and chart PDFs carry the logo and accent color but not these two.

Which documents use it

  • Invoices and receipts: logo, accent color, standing text and header fields. See Payment receipts and Invoice numbering.
  • Superbills: logo and accent color above the practice, provider and visit details. See Superbill export.
  • Chart PDFs from a session's Download PDF: logo and accent color. See Chart PDF.
  • Form submission PDFs: logo and accent color, with your practice name.

The practice name, address, phone and Tax ID beside the logo come from your practice details under Settings → Billing. A location that bills under its own address, phone or Tax ID can override them under Settings → Scheduling, in Billed under, and documents for visits there use the location's details with the same logo and color.

When you change something

The logo, color, standing text and header fields are read when the PDF is made, so a new logo shows on an old invoice the next time someone downloads it. An invoice is different for the practice details: its name, address, phone and Tax ID are saved at the moment it is issued, and its receipts follow the invoice, so moving the practice doesn't rewrite what a patient already holds.

Try it in your own practice.
