It is the quiet end of the month and you want to know who has drifted. You can scroll the roster and do the date arithmetic in your head for every name, or you can sort one column and read it off.
A Status column that works itself out
Status is a column in the patient roster, shown by default; the Columns menu hides it if you would rather not see it. Each cell has a coloured mark, the status in words, and, when a visit is late, a muted line saying when it was due.
Nothing is stored and nobody sets it by hand. Goji works it out each time the list loads from the patient's visits, their cadence and what is booked, so it is right the moment a visit is attended or an appointment is made. Only past confirmed or completed visits count as seen; cancellations and no-shows do not. Visits imported from your old system count too.
How a patient lands in each status
The measure is how long it has been since the last attended visit, compared with the patient's Session cadence, which you set on their details card: Weekly, Biweekly, Monthly, Quarterly or As needed. Those count as 7, 14, 30 and 90 days.
- On track: seen within 1.25 times their cadence, or with a confirmed appointment still to come. For a monthly patient that is up to 37 days.
- Due for a visit: past that, up to twice their cadence (60 days for monthly). The cell says was due, with the date.
- Overdue: up to four times their cadence (120 days for monthly).
- Lapsed: beyond that, or more than 180 days since the last visit whatever the cadence.
- New: no attended visit yet.
- As needed: cadence set to As needed, so the patient is never chased.
- Care ended: you recorded that care ended.
The order matters. Care ended wins, then As needed, then New. After that, a confirmed appointment still to come keeps a patient On track even if they have been away for a year, because they are coming back. A held time that has not been confirmed does not count.
Last visit and Status can disagree on purpose. The Last visit column also shows a visit that was cancelled or missed, while Status looks only at visits that happened.
Sort, filter and five ready-made views
Sort by Status to put the most overdue patients first. Filter by Status (is, or is any of) or by Has upcoming appointment, and there is a Visits attended filter for the number of past visits. Status and Has upcoming appointment are safe to put in a shared link, since a status is not personal information; your search text and most other filters stay in the page and out of the address, as they do everywhere on the roster.
Five tabs sit above the table, ready to use. They behave like any saved view, so you can adjust one and save your own version.
- Lapsed: patients who have lapsed, most overdue first.
- Overdue and lapsed: both bands together.
- No first visit yet: new patients with nothing booked, oldest record first.
- One visit, no next: patients who have attended exactly once and have nothing booked, a list of people who have not yet come back after a first visit.
- Care ended: patients you have recorded as no longer in care.
The Back tag
A small Back tag appears beside a patient who has just returned. Their latest visit was within the last 60 days, and it came after a gap of more than twice their cadence (or over 180 days) or after you had recorded that care ended. It is a prompt to welcome them back. It does not show for patients on As needed or with care ended, and like the rest of Status it is worked out, not stored.
What it does and does not do
Status is information for your team. It does not email a patient or change anything when they turn Overdue, and the thresholds above are fixed rather than something you set per practice. If you want a patient left alone, set their cadence to As needed or record that care ended; reminder emails are never sent to a patient recorded as deceased. Status lives on the roster, not on the individual patient page.
