Rescheduling

Move an existing appointment to a new time, provider or room in place, with the patient notified and history kept.

Tactile editorial artwork for Reschedule

A patient texts that Thursday at 10 is no longer possible, and Friday at 2 works. That should be one change to one appointment, not a cancellation, a new booking and a hope that nothing got orphaned.

Where to start

Click an appointment on the Calendar and choose Reschedule in its detail popover. The same action sits on each row of Today’s schedule on the dashboard and on a patient’s Schedule tab, so you can move a visit without opening the grid first. Cancelled and expired appointments don’t offer it.

Pre-filled with what is booked now.

The dialog opens with the appointment’s current Facility, Provider, Room, Date and Time. The Room list only appears when the facility has rooms that suit the service, and the Provider list only shows people assigned to the chosen facility. The length carries over from the original, because rescheduling doesn’t change the service.

It stays the same appointment

Goji updates the existing appointment rather than creating a new one, so a chart session you already started from it keeps pointing at the right visit. Nothing about the patient or service changes, only when, where and with whom.

What the patient and your calendar see

When the move goes through, Goji withdraws the old messages still waiting for that appointment and schedules fresh ones. The patient gets a reschedule notice by email and by text, and the reminders are recalculated from the new time. A reminder whose send time has already passed is skipped. These are the same messages you control in notification settings, under When an appointment is rescheduled, so they follow your on and off switches and a patient’s text consent; the result lands in delivery history.

If the provider has a two-way Google Calendar connected, the Appointment event on it moves to the new time. That push is best effort: if Google is unreachable, the reschedule still succeeds.

When the new time is a problem

  • Double-booking the provider gets the same warning as booking, listing the overlapping times, with a Reschedule anyway button and an optional reason. See overlap protection.
  • A room that is already booked at the new time is refused with a message to pick another room or time.
  • A start inside your notice window shows This appointment starts in less than 24 hours (or whatever you set) with a Reschedule anyway button. The window is measured from the time you are moving away from, not the new one. See late-change window; a late move carries a Late notice badge afterward.
A warning, not a block.

Every move is on the record

Each reschedule adds to a history on the appointment: the old time, the new time, who moved it and when. A visit moved twice keeps both hops. They appear in the patient’s activity stream as a row reading rescheduled the visit, with the old and new time.

Try it in your own practice.
